Aureon Systems
How it works · the field manual

We prepare the follow-ups you’re missing. You approve every send.

It runs inside the tools you already use. Aureon picks the one leak worth fixing first, drafts each message in plain English, waits for your go-ahead before anything reaches a client, and keeps a record so you can see what changed. This page is the whole system — no mystery left.

§ 01 / 06 · THE OPERATING LOOP

Six verbs. One rule: your team decides what gets sent.

Work moves clockwise around one ring, and everything client-facing stops at the same node until a person says send.

The operating loop — six verbs on a ring; approve is the gate
Nodes 01–06 — the loop, clockwise Gold — the approve gate Chevrons — direction of work
  1. 01

Listen — every channel, one intake

Email, Slack, Telegram, forms, calls, calendars, CRM, and booking tools feed a single stream.

  2. 02

Organize — scattered inputs → one queue

Everything becomes a prioritized work queue instead of competing inboxes.

  3. 03

Remember — context that survives the week

Owner decisions, approvals, and next steps stay visible — nothing lives in someone’s head.

  4. 04

    Prepare — drafts, not surprises

Summaries, drafts, reminders, research, reports, and recommendations — prepared, never fired.

  5. 05

    Approve — the human gate

Your team decides what gets sent. Approve, edit, or hold — every decision logged.

  6. 06

Move forward — approved work executes

Queue approved messages, update documents, report, and escalate what needs a person.

§ 02 / 06 · THE LEAK TAXONOMY
Six lanes · twelve checks — the same instrument, every read

The twelve leaks we check.

Six lanes, twelve checks. This is the full instrument — published, so you can run it on your own business before you ever send us a URL.

Lane 01Missed inquiry follow-up
L-01

First-reply lag.

How long a new inquiry waits for its first human-quality response. Evidence: the promise your site makes vs. what a test inquiry experiences.

Fix lane: drafted-reply queue, owner-approved.
L-02

After-hours dead zone.

Evening and weekend requests answered like it’s Tuesday 10am — later, colder, or never. Evidence: form/booking behavior outside business hours.

Fix lane: capture + next-morning draft queue.
Lane 02No-show recovery
L-03

The unrebooked no-show.

The appointment died; nobody circled back to revive it. Evidence: no visible rebooking promise or path after a miss.

Fix lane: same-week rebooking drafts.
L-04

The silent cancellation.

A cancel ends the relationship instead of rescheduling it. Evidence: cancellation flow ends in a dead end.

Fix lane: reschedule-first cancellation handling.
Lane 03Dormant & lapsed clients
L-05

Stale-lead expiry.

Leads that went cold in the inbox or CRM and were never re-approached. Evidence: intake paths with no visible follow-up commitment.

Fix lane: ranked reactivation queue, owner-approved.
L-06

The lapsed client nobody re-invites.

Past clients who would return — if anyone asked. Evidence: no win-back motion anywhere in the public surface.

Fix lane: win-back drafts with reasoning attached.
Lane 04Package, membership & rebooking
L-07

Quiet renewals.

Packages and memberships lapsing without a conversation. Evidence: renewal moments with no owner visibility.

Fix lane: renewal-window draft queue.
L-08

The rebooking non-attempt.

The visit ends; the next visit is never asked for. Evidence: no rebooking prompt in the visible flow.

Fix lane: post-visit rebooking drafts.
Lane 05Review & referral asks
L-09

The review gap.

Happy clients, no ask, competitors compounding. Evidence: review velocity vs. visible volume.

Fix lane: owner-approved review asks.
L-10

The referral non-ask.

Referrals treated as luck instead of a step. Evidence: no referral moment in the client journey.

Fix lane: referral asks at proof moments.
Lane 06Owner visibility
L-11

The handoff drop.

Between people and systems, nobody owns the follow-up. Evidence: multiple intake channels with no single queue.

Fix lane: one governed work queue.
L-12

The owner blind spot.

No view of what’s waiting for a reply right now. Evidence: the owner can’t answer “what’s unanswered?” today.

Fix lane: the console — everything waiting, logged, approvable.
§ 03 / 06 · THE AUDIT PROCESS

Reviewed like an operator, not scraped like a lead list.

Four steps sit between your URL and the read in your inbox. Here is each one, and what it hands you.

  1. Day 00 · 09:12

    01 · Map

We inspect your website for what is visible: offers, buyer path, contact points, booking flow, lead sources, and follow-up signals.

You getVerified site observations — what a customer actually experiences.

  2. Day 00 · 10:05

    02 · Score

We separate verified observations from assumptions, then score the highest-value bottleneck and the safest first recovery sprint.

You getThe likely revenue leak, labeled fact vs. assumption.

  3. Day 00 · 10:48

    03 · Design

We specify the first governed recovery sprint: leak hypothesis, work queue, approvals, tools, records, and proof metrics.

You getThe best first recovery sprint — scoped before any build.

  4. Day 01 · 08:30

    04 · Plan

You leave with the simplest 14-day sprint plan, what proof to collect, and what should be tested first.

You getA 14-day plan you could run with or without us.

Sample stamps — the order is the process; the clock is illustrative. The read itself lands within one business day.

§ 04 / 06 · WHAT GETS BUILT

Four artifacts, not a dashboard.

If a sprint gets approved, the system shows up as things you can open and read. Each one exists so a specific question stops needing a meeting.

01

The follow-up queue

One queue holds every inquiry, missed call, no-show, and lapsed client — each with a drafted reply and its context already attached. The only work left when you open it is the decision: approve, edit, or hold.

“no-show · Tue → same-week rebooking draft · waiting on you”
02

The daily brief

A short note at the start of the day: what came in, what’s still unanswered, and which sends want your approval before they happen. Nothing in it has gone out yet — that’s the point.

“waiting on you: two approvals · one promised reply”
03

The decision log

Every draft, edit, approval, hold, and send, timestamped in one place. When you ask what actually went out last week, this file answers — nobody reconstructs it from memory.

“09:41 drafted · 09:43 held · 10:02 approved → sent”
04

The weekly close-out

One page at the end of each week: work handled, approvals waiting, appointments booked, open loops closed — and where follow-up still breaks. Every number in it is pulled from your own systems, or it isn’t in the page.

“handled · booked · still breaking — counted, not projected”
§ 05 / 06 · THE ENGAGEMENT RULES
Measured, not projected — house rule

Fixed scope. One lane. Everything logged.

Three working rules and four refusals — the terms the engagement actually runs under, published before you ever pay for anything.

R-01

One leak lane at a time

A sprint tests a single lane from the taxonomy above. Focus is what makes the proof readable — if everything changes at once, nothing is measurable.

R-02

Fixed scope, ranked backlog

Leaks discovered mid-sprint are logged and ranked, not folded in. The sprint you approved is the sprint that runs.

R-03

Everything logged

Drafts, edits, approvals, holds, sends — each carries a timestamp. The record is part of the deliverable, not a favor.

What we won’t do.

  • We won’t send anything to your clients without your approval.
  • We won’t quote a fix before the leak is verified.
  • We won’t grow the scope mid-sprint — new leaks go into a ranked backlog, not your invoice.
  • And we won’t project revenue we haven’t measured: every claim in a closing report is a number from your own systems, or it isn’t in the report.
§ 06 / 06 · COMMON QUESTIONS

Everything owners ask.

What is a revenue leak audit?

A structured look at where inquiries, no-shows, stale leads, slow follow-up, and owner visibility break down — ending in one prioritized leak and a recommended 14-day, owner-approved recovery sprint to test it.

How much does the Revenue Leak Audit cost?

The first leak read is free — it costs you a URL and an email. If you want the full audit and a recovery sprint after that, we scope and quote it on a short call, with the deliverables and proof metrics defined before any build starts.

What happens in the 14-day recovery sprint?

One leak lane gets a governed work queue: intake captured, follow-up drafted, every client-facing message held for owner approval, every action logged. At the end you see replies, bookings, recovered opportunities, and a documented record of what changed — proof first, automation second.

Do I have to replace my CRM or booking software?

No. The system sits alongside the tools you already run and organizes the follow-up around them. Nothing gets ripped out for a test.

Will AI send messages to my clients automatically?

No. Nothing client-facing sends without a person approving it. Drafts are prepared; your team approves, edits, or holds. Every decision stays logged with a timestamp.

Do you work with businesses in Grand Rapids and West Michigan?

Yes — Aureon is based in Grand Rapids and works with West Michigan service businesses first, with remote engagements available nationwide.
